  • In the Order Wise Sales Summary Report, we have added two new columns: Booking ID and Room Number. If these details are not applicable, the corresponding row will remain blank, ensuring clarity and relevance in your reports.
  • In the Item Wise Category Summary Report, we have introduced additional columns for Invoice Number, Booking ID, and Order Status. The Invoice Number will repeat across rows as it pertains to item-level tracking, enabling more precise financial and operational assessments.

11.UTGST logic implementation

Point of Sale (POS) Enhancements:
1.Split Bill Functionality in POS

The Point of Sale (POS) system now offers the Split Bill functionality. When guests request to split their bill among multiple payment methods or share the expenses, your staff can easily accommodate these preferences. Bills can be divided by portions, percentages, or individual items. By providing this flexibility, you enhance the guest experience and make the payment process seamless.

2.Staff Name Visibility in Sales Summary Report

The Sales Summary Report now displays the names of staff members who processed each order, meaning that the details of each transaction will include the identities of the specific staff who handled them. This addition enhances transparency about the participation of individual team members in the sales workflow. This knowledge allows for insights into which staff member managed each transaction.

3.Out-of-stock Item Alerts in POS

This feature ensures that you are promptly notified when an item is running out of stock in your POS system. 1.Booking Status Logic Update

We've updated the logic in our system to improve the management of bookings. With this change, as soon as a guest checks in, their booking will automatically transition from the "Arrival" category to the "In-House" category on the dashboard. This new arrangement provides clear visibility for the front desk staff, enabling them to efficiently monitor the count of guests who are still expected to arrive and those who have already checked in. Consequently, this enhancement optimizes the overall bookings management process and heightens the front desk's understanding of each guest's status.

2.New Booking Logic Update

Request to Book Option

We are thrilled to announce the arrival of our highly anticipated "Request to Book" option, designed to revolutionize the way you handle last-minute bookings. This new feature empowers your customers by providing them with the ability to make on-request bookings, ensuring a seamless and flexible experience.

Here's how it works:

  • Customer submits a booking request: When a customer wishes to make a booking, they can now submit a request through our platform. This allows them to book even at the eleventh hour, providing them with the ultimate convenience.
  • Email notification for approval: As the hotelier, you will receive an email notification as soon as a booking request is submitted. This puts you in full control, giving you the authority to approve or reject the reservation.

  • Streamlined approval process: Once you've reviewed the booking request and decided to approve it, our system will send the customer a secure payment link. This ensures a secure and hassle-free transaction, guaranteeing peace of mind for both you and your guests.

By activating this feature, you can elevate the overall booking experience for your guests while maintaining control over your property's availability. To get started, simply navigate to Property Configuration > Booking Engine > Manually Approve with Time Before Check-in and enable the feature.

Room-Level Payment for Group Bookings

We understand the unique challenges of managing group bookings and the need for flexible payment options. With our latest update, you can now add and charge cards on a room-level basis. This means you can easily assign and manage payments for individual rooms within a group booking.

To make use of this convenient feature, simply follow these straightforward steps:

  • Go to Group Reservation Folios in your account dashboard.
  • Click on Folio Action and select Group Booking Master Data.
  • Choose the room folio you wish to manage and navigate to "Settle Due."
  • Add the card details for that specific room.

IGST Implementation for Indian Properties

In order to streamline tax calculations for bookings across different states in India, we have implemented a feature known as Integrated Goods and Services Tax (IGST) for properties. Whenever a customer from another state makes a booking, the system will automatically compute the applicable IGST rates. To enable this feature, kindly send an email to our support team. This enhancement significantly reduces the time and effort involved in tax calculations while ensuring compliance with government regulations

Enhanced In-House Report

Property Configuration

We are pleased to announce the successful integration of WhatsApp into our system, enabling the implementation of WhatsApp notifications for hotels and guests. Hotel administrators can manage WhatsApp notifications by accessing the notification settings in the property configuration. Please note that this feature incurs additional charges. User and access control have been enhanced to include access control for various folio features. These features include check-in, check-out, rollback, cancel booking, edit reservation, modify check-in/out, split room, edit rate plan, coupon code/offer/discount, add hotel addon, add new room to group booking, lock/unlock booking, unassign room, and tax-exempt status. This allows hotel administrators to assign specific access levels to individual users, granting them appropriate access based on their roles and responsibilities.

We have enhanced the User and Access Control feature in our software, making it more convenient for hotel owners and admins. With the new update, you can create roles specific to each department and assign them to multiple users. By assigning roles based on responsibilities, you can easily manage access and permissions. Creating users and modifying their roles is straightforward, allowing for efficient user management. This feature simplifies access control and improves overall software usability for hotel owners. Additionally, existing users will be assigned preconfigured roles as role_1, role_2, but you can easily edit and rename these roles for better clarity. If you encounter any issues, simply log out and log in back into the system for a smooth experience

Group Reservation Calendar

Introducing the Group Reservation Calendar, a new feature designed specifically for homestay properties. This feature enables homestay and vacation rental property owners or admins to conveniently view and manage bookings for multiple properties on a single page. We have upgraded our cancellation policy for online and walk-in bookings. Hotels can set multiple policies for different channels and map it in the PMS. This will help automatic posting or voiding of booking charges on folio. This process cuts down the daily audit process time by 60%.

AI-Powered Reputation Management

Stayflexi software now has a Reputation Management feature, enabling hotels to manage reviews from multiple channels in a single platform. With the help of Flexigpt, users can respond to reviews, and the responses will be published on the corresponding online channel. Currently, this feature is available for Booking.com only, and we plan to expand it to other channels based on API feasibility

Shops

Our latest feature for restaurants is the Service Charge functionality, which allows guests to be charged for services rendered. You can customize the service charge by going to the shop's configuration outlet. The system generates a report with a new column displaying the total service charge collected against each order, giving hotels a clear understanding of the service charges. The service charge is optional, and hotels can remove it from the bill if guests don't wish to pay.

Group Booking

We have extended the day-level pricing feature to group bookings, enabling hotels to define varying room prices for each day, based on their agreement with the customer. With this feature, hotels have more control over the pricing and can negotiate in real time while making bookings. It empowers hoteliers to offer competitive rates and provides greater flexibility in managing group bookings.

Quick & Group Booking

We've introduced a new feature that enables hotels to include guest company details while making Quick & Group bookings. With this feature, hotels can now raise bills for walk-in customers to their respective companies without having to create a company account under direct billing. This functionality has also been added to the room folio, allowing guests to request a bill for their invoice to the company account.

Rate Shopper

We've improved our rate shopper feature to make it easier for hotels to add competitor hotels. Hoteliers can now simply copy and paste the URL of the online travel portal, such as Booking.com, Agoda, and Expedia, to add competitors. The rate shopper displays a competitor hotel's rates, rank, occupancy, and other relevant information, allowing hotels to make informed pricing decisions.

Reservation calendar & Dashboard

The software now allows hoteliers to define room names and colors for specific room categories in the Property configuration. These room names and colors will then be displayed in the reservation calendar for easy identification.

The software now includes a feedback page on the dashboard, allowing hotel users to share their thoughts and opinions on the Stayflexi system and team in real time. The Stayflexi team will use this feedback to continually improve their products and better serve their customers.

Group Properties:- Bulk Rate & Inventory Management

The software now offers a single page display of group inventory, rates, and restrictions for multiple properties. This feature is particularly useful for hotel owners, revenue managers, or administrators who handle multiple properties, as it provides an easy-to-understand overview of data for all properties on a single page, allowing for more efficient decision-making.

Property Configuration

The software now has a derived pricing functionality that allows hotels to define parent and child room categories. Based on the defined relationship between these categories, the system will automatically set the price for child rooms. Hoteliers only need to update the price for parent rooms and the child room price will be automatically adjusted accordingly. If the dependency feature is activated, only the parent room type option will be available for price updates in the PMS.

Shops

The software now allows hotel staff to cancel or transfer a shop bill from one room or table number to another if a wrong restaurant order has been added to a guest folio by mistake and the food has not been consumed. This feature enables hotels to correct bills and provide accurate billing information to customers.

Room Folio

The new software feature allows hotels to create custom folios from advance invoices, making it easy to separate bills for rooms, add-ons, and shop purchases if a guest requests a separate bill.

Rates & Inventory Calendar

The software now includes "Total Offline Rooms" and "Total Blocked Rooms" rows to provide a clear overview of the overall room status of the property, rather than just for a specific room category. This makes it easier for hoteliers to understand the overall room availability.

Report

The software now includes an "Arrival Report" in the report scheduler, which allows hotel managers to view the number of guests arriving on a particular day. This feature helps managers plan ahead for meals, room assignments, and other day-to-day operations based on the number of expected arrivals.

The software now includes a "Bulk Void" and "Bulk Cancellation" option in the folio report, allowing hotel managers to perform these operations on multiple bookings at once. This feature is particularly useful when dealing with partially cancelled bookings, as managers can filter bookings based on status and make decisions accordingly, rather than having to handle each booking individually.

The software has been updated to include Booking Engine and Google Hotel Ads source details in the Payment report, in addition to other booking sources. The Payment report now also includes payment breakup information for transactions made through payment gateways. This new feature aims to simplify the payment reconciliation process for hotel owners by providing them with a comprehensive overview of payment statuses from these sources, enabling them to cross-verify the information more efficiently.

Reservation calendar & Dashboard

A new feature has been added to the Dashboard which displays the availability stats of each room type. This feature is particularly useful for front desk personnel who can easily check the availability of a specific room type on a particular day and make room bookings accordingly. Additionally, there is an option to check for the latest updates on the Stayflexi system. Another exciting feature is the “Refer and Earn” program, which can be accessed directly from the Dashboard and offers rewards for successful referrals.

We have introduced a new feature that allows us to assign rooms directly from the dashboard in case a booking is unassigned. This will simplify the work of our front office staff by displaying only available rooms and their status (clean or dirty) for easy assignment.

We’ve introduced a new feature called Day Level Pricing in our PMS that enables hoteliers to set prices for each day individually. This feature is particularly useful for guests staying for longer durations as it provides them with greater clarity on the pricing for each day of their stay. This feature also allows hoteliers to manually override the system price for greater flexibility. We’re continuously enhancing this feature and plan to implement it for group bookings in the future.

A Group Booking icon has been added to the reservation calendar, making it easy for front desk staff to identify which bookings are part of a group reservation just by looking at the reservation grid.

We have added new search filters in the reservation calendar, such as Available rooms, Dirty Rooms, Clean and block rooms, along with room type filters. These filters will help you easily find the information you need for your hotel’s room availability.

Reports

Hotels can now access the Rate Plan count report under their front desk report. This report helps hotels estimate the number of meals they need to prepare for their guests, and also shows which meal plans are popular among guests.

We have added a feature to our Booking Engine report where hotels can now see a separate breakdown of commissions earned from Booking Engine and GHA. This will allow hotels to better track and analyse their commission earnings.

Booking Engine

Hotels can now display a tax breakdown on their booking engine. This feature helps guests understand the various taxes they are paying when making a reservation on the hotel’s website.

We have made some updates to the booking engine. The cancellation policy will now be displayed on the final booking page, giving guests a clear idea of the policy before they confirm their booking. In case the hotel has not added any cancellation policy, a notification will be displayed on the PMS.

Shops

Hotels can now upload their food menu in shops through an Excel file. They can simply fill out the Excel file and send it to the support team, who will upload it all at once. This makes the process much easier, especially if the menu contains a large number of food items.

In shops, it is now possible to cancel or modify specific items on a KOT even after it has been printed. This feature helps restaurant managers correct any mistakes made while punching in the order. Additionally, the KOT Modification report has been added to the shop report, allowing hotels to track all modified KOTs.

Now hotels can settle multiple shop bills added to a specific room folio in one go instead of settling them individually. This new feature will help hotels in saving time and effort while settling shop invoices from the room folio.

Revenue Management

The rate template feature has been upgraded with several new options, including the ability to create template prices for all channels or specific channels. Once created, templates can be implemented on all channels at once or on specific channels. Additionally, hotels can now increase or decrease already created template prices by a flat amount or percentage, providing more flexibility in managing room prices. This feature makes it easier for hoteliers to adjust room prices according to their needs.

Stock Management

  • A Stock Management dashboard has been added to provide a comprehensive overview of the stock data. This feature is particularly useful for managers or owners who want to quickly check the stock levels for a specific outlet.
  • A new beta feature for stock management specifically for housekeeping has been introduced. This feature allows hotels to manage stocks for a particular room category. Access to this feature will be provided to hotels upon request.

Rates & Inventory Calendar

Hotels can now update room inventory, room prices, and restrictions for multiple room categories in one go using the Bulk Operations feature under the Rates and Inventory calendar. This feature is particularly useful for revenue managers or individuals responsible for managing hotel inventory and pricing as it reduces workload and saves time.

  • A new feature has been added to the rates and inventory calendar page that allows hotels to view logs of all changes made to a specific room category for a particular date. This feature provides detailed information about any changes made on online travel portals, giving hotels better insight into their inventory management.

Direct Billing

  • We have added a feature where hotels can include direct billing company details in PDF format, making it easier for them to send the details to the respective companies.
  • We have added a new feature where, in case of direct billing enquiries, an email will be automatically sent to the direct billing company. This allows the direct billing company to promptly check the booking details and make payments in real-time. This feature helps to improve coordination between the hotel and the direct billing company.

Folio

  • A new feature has been added to the Room Folio that allows hotels to update the guest count or room price separately, or both at the same time.
  • To maintain the security of our guests’ card details, only the admin will have access to view any card added from the room folio..

Whatsapp Notifications

  • Hotels can now receive a daily summary of important data including Occupancy, Room Revenue, and Payment Collected via WhatsApp message if they choose to use this option.

Self Channel Mapping Tool

  • We’ve made it possible for properties listed on both booking.com and Expedia to be managed as a single property under a specific room type. By mapping independent booking.com and Expedia properties to a specific room type, it becomes easier to manage them as a single property. Reservation calendar & Dashboard

Now, all enquiry on hold bookings will be visible in the reservation calendar, making it easy for front desk staff to view all bookings on a single page and make decisions based on room availability.

We’ve added a new Room Clean option to the reservation calendar, located next to each room number. This makes it easy for front desk staff to see the status of each room and take immediate action to clean it directly from the calendar grid, without having to navigate to the housekeeping page. With this new feature, you can ensure that all rooms are clean and ready for guests, providing a better overall experience for your customers.

We’ve upgraded our “Do Not Rent” feature, which now includes functionality based on mobile numbers as well. This means that if a customer has been blacklisted and their details are saved in the customer information page, including their mobile number and email ID, the Stayflexi system will identify them the next time they attempt to make a booking. Even if the customer provides a different email ID, as long as the mobile number matches, the system will flag them as blacklisted and suggest to the hotelier that they should not be rented to. This new feature ensures that you can maintain a safe and secure environment for your guests, while also streamlining your operations.

Reports

The Flash manager now has a new report that shows both detailed and summary views of payments received by the hotel. This report can be filtered to show payments received for a specific day, month to date, or year to date. You can even download the report as a PDF and print it out if you need a hard copy. The report will be sent to your email for easy access.

We’ve enhanced “Shift Report,” which provides a detailed breakdown of payment information for each shift. With this feature, you can see how much payment was collected during a particular shift and the breakdown of that payment by type, such as cash, card, or UPI. This information is especially useful for managing staff and tracking payment collection. With the Shift Report, you’ll have a clear understanding of how your business is performing on a shift-by-shift basis.

We’ve added several new reports to our Report Scheduler, including Sales Report, Inventory Report, Flash Manager, Master Report, Bar Pricing Report, and Inventory Forecast Report. Additionally, our reports can now be scheduled to be sent via email on a weekly basis. These reports provide valuable insights into your business’s sales, inventory, and overall performance, and make it easy to keep track of your operations on a regular basis. With our new and improved Report Scheduler, you’ll have the information you need to make informed decisions and drive your business forward.

Booking Engine

We’ve made improvements to the booking engine to make it easier for guests to understand restrictions set by hotels. If a hotel has implemented a Minimum Length of Stay (MLOS) restriction, the booking engine will now clearly display to guests how many nights they need to select to book a particular room. This way, guests won’t be confused and can easily complete their booking.

Shops

  • When a guest adds multiple shop bills to their room folio, Stayflexi will now combine them and show a summary view with the total amount. By clicking on the summary, the front desk staff can see a detailed list of each shop bill with dates, items, and other important information. This makes it easier for staff to calculate and collect payments from the guest.
  • You can now settle multiple shop bills from a guest’s room folio all at once. This feature will save time and effort for the front desk staff as they can select and settle multiple shop bills with one click, and the respective shops will receive their payments accordingly.

Miscellaneous

  • We’ve updated the room revenue, tax report, and cash counter-report to include the room number associated with each transaction. This makes it easy for the hotel owner and manager to identify which room number was involved in each operation, providing more clarity in understanding the data. This integration is the future of door locks and is now supported by Stayflexi software.

  • The settlement date has been added to the payment report, giving users visibility into the transfer of payment from the payment gateway. This provides greater clarity on when payments were transferred for a specific booking.

Booking Engine

Shops

  • A search filter has been added to the shop, enabling the efficient search of menu items across all categories. This streamlines the ordering process for the order taker, reducing time and increasing efficiency.

  • A flat amount option has been added to the rate plan under revenue management to simplify pricing for those who prefer to define prices based on a fixed amount.

Guest folio

  • A feature to delete guest details has been included in the room folio, allowing hotels to easily correct errors and ensure accuracy in guest information. This helps to avoid incidents such as mistakenly entering the wrong guest data.

  • Promo codes applied to bookings can now be tracked in the master report.

Inventory and price logs

  • We've added inventory, pricing, and restriction logs to our rates and inventory calendar to provide real-time updates to hoteliers on the status of their operations in the Stayflexi system and whether they have been reflected on the relevant OTA's. This will help hoteliers stay informed and ensure that their data is accurate and up-to-date.

Housekeeping

  • We have made it more convenient for the housekeeping user by merging all the housekeeping module pages into a single view. This allows the user to see all relevant information and operations on one page, rather than having to navigate between multiple pages. Please note that all the pages are still accessible, but they have been combined into one page for ease of use.

Group bookings

  • We've added group booking master data to the room folio for group bookings, allowing front office staff to view and track room-wise invoice details in one place. This will make it easier for them to process add-ons, payments or track payment status for group bookings at the room level.
  • In group bookings, it is now possible to add individual names for each room rather than showing one name for all rooms. Additionally, you can now add the details of all guests - primary and accompanying - for each room.

Guest folio

  • In order to make the guest folio more efficient and user-friendly, we have combined all folio actions into one place and added booking and customer notes on the main folio page. This allows users to access all the necessary information and actions in a more streamlined and convenient manner.
  • The room folio now includes a booking fee break-up, providing hoteliers with a clear understanding of which services the customer has paid for. This information can also be included on the folio print out for the customer's reference

Miscellaneous

  • Access Control option is available for settling dues and viewing and managing payments. This will give more control to the hotel admin to give access to the required person.     Product enhancements

    • If payment is outstanding, and the hotel staff is trying to checkout by mistake from the reservation grid, then it will automatically redirect to the folio page. You can settle the guest outstanding bill from that section.
    • In Reservation grid, the new booking color codes are as follows. Confirmed booking - Yellow, Check-In- Olive Green, Blocked Rooms- Grey, Check Out- Navy Blue, Inquiry- Dark grey.
    • Once the card is swiped in the card swiping machine, then the system will automatically fetch and store the customer card details in the Stayflexi system. Your customers don't need to manually enter the card details every time to make a payment.
    • Marking checkout before check-in time will give up a pop-up and the system will not allow it.
    • In the global search box, existing data will be replaced with the latest search.
    • Multiple room types can now be added while self onboarding the property from the self onboarding link.
    • Folio rates are now editable at the alteration of the adult & child occupancy.
    • The minimum price feature is available, and if any user is trying to update the price below that amount, then the system will not allow it.
